This allows you to show what day your week starts, what days are weekends, whether you want birthdays and anniversaries to show, as well as what public holidays you need to be on your calendar. 

Only employees with administrator access can follow these steps: 

  1. Click your name in the top right, then click Settings
  2. On the settings menu click CALENDAR, then click General

Settings that can be changed here relate to the layout of the calendar and whether certain events such as birthdays or long-term leave, appear in the calendar.   

  

Create a Public Holiday Group 

Public Holiday Groups ensure that those who are eligible for public holidays have them correctly assigned to them. 

Sometimes you may need multiple public holiday groups due to: 

  • Employees working in different countries 
  • Employees using different countries 

Example: In the UK, you may have part of the company follow public holidays in England, and another part of the company follow public holidays in Scotland.  

  1. Click your name in the top right, then click Settings.
  2. On the settings menu click CALENDAR, then click Public holiday groups.  
  3. Click ADD NEW, name your Public Holiday Group e.g Scotland.  
  4. Click ADD, then select the employees you want to assign to this group, then click SAVE. If you want to assign these later, click CANCEL.  
  5. [OPTIONAL] Rename your ‘General’ group, e.g England and Wales. 

 

 Assign employees to Public Holiday Group 

  1. Click your name in the top right, then click Settings
  2. On the settings menu click CALENDAR, then click Public holiday groups.  
  3. On a public holiday group, click on the ELIGIBILITY button.  
  4. Select the employee(s) you want to assign to this public holiday group. You can search for them or click on the cogs icon for an advanced search, where you can filter down to employees of a certain Team, Position and/or Location.  
  5. Once selected click SAVE

 

Import public holidays 

You can add a public holiday to your calendar manually if you click ADD PUBLIC HOLIDAY. Alternatively you can import public holidays into your calendar.

  1. Click your name in the top right, then click Settings.
  2. On the settings menu click CALENDAR, then click Public holidays. 
  3. Click IMPORT.   
  4. Select the country you want to import public holidays for, e.g UK (England & Wales). 
  5. Under Public Holiday Groups, select a public holiday group e.g England and Wales. 
  6. Click IMPORT
  7. Wait a few moments and then refresh your page. The imported public holidays  now shows.  
  8. Repeat steps 1-6 for your other Public Holiday Group if you have one, but select a different country to import. 

Create Blackout dates 

Blackout dates are days which your employees won't be allowed to book any leave on.  

  1. On the settings menu click CALENDAR, then click Blackout dates
  2. Click ADD BLACKOUT DAY
  3. Enter the name of a period you want to blackout.  
  4. Select dates for your blackout period. 
  5. Select which employees you want this blackout period to apply to.
  6. Here you can select any policies that you want to override your blackout date e.g Sick Leave. 
  7. These blackout dates now appear on your calendar.
