An asset is a kind of resource available to employees. CakeHR allows you to keep track of assets given to employees, such as a phone, laptop or a car.

Asset general settings

  1. Click on your name in the top right, then click Settings.
  2. On the settings menu, click ASSETS, then click General.
  3. Under Assets administrators, click on the blank space and enter who you want to have access to Assets settings and reports.
  4. If required, select the option Allow team managers and direct managers to give and return assets.
  5. Click SAVE.

Create an asset category

Categories allow you to define the asset type.

  1. Categories allow you to define the asset type.
  2. Click on your name in the top right, then click settings.
  3. On the settings menu, click ASSETS, then click Categories.
  4. Click ADD NEW.
  5. Name the asset category, then click SAVE.

Inventory 

The inventory is the list of all your individual assets, once created they can be assigned to an asset category.

There are two ways to create assets:

  • Import
  • Add assets manually

Import

  1. You can use a downloaded template to import your assets.
  2. Click on your name in the top right, then click settings.
  3. On the settings menu, click ASSETS, then click IMPORT.
  4. If you need to get the template first, click Download template, fill out the template, then return to these steps.
  5. Click SELECT FILE, then browse to the relevant import file.
  6. Click IMPORT.
  7. Once done, you are told if all entries have imported successfully. Click CLOSE.

You can now see your imported assets.

Add assets manually

  1. Click on your name in the top right, then click settings.
  2. On the settings menu, click ASSETS, then click Inventory
  3. Click ADD NEW.
  4. Give the asset a name.
  5. If required, assign the asset to category you have created.
  6. If required, enter a description of the asset.
  7. If required, enter an Asset number – this is an internal code a business uses to identify an item. 
  8. If required, enter a serial number – usually assigned to an item by the manufacturer.
  9. Click SAVE

You can now see the added asset.

📌TIP: To edit an asset click on the pencil icon.

Custom Field

If you want additional custom fields to fill in when you add or edit an asset, then these can be created.

  1. Click on your name in the top right, then click Settings.
  2. On the settings menu, click ASSETS, then click Inventory.
  3. Click ADD NEW.
  4. Name the field.
  5. Select the type of field you want it to be: Text, Dropdown or a Date.
  6. If required, enter a description 
  7. If required, select if you want it visible to an employee. If not selected only their manager can see it.
  8. Click ADD.

You are now ready to assign assets to relevant employees when needed.
